Your Role
A collaborative, highly organized, articulate multitasker who thrives in a creative firm environment, providing office administrative, business and bookkeeping support. Your role will include:
- Greeting all visitors and vendors, answering incoming calls, coordinating internal and external office events, lunch and learns, and meetings
- Bookkeeping, invoicing, AR and AP support for our accounting manager, using Ajera software
- Assisting firm principals and project managers with client and consultant contracts using AIA software
- Interacting with external insurance vendors for certificate of insurance requests
- Interacting with external benefits/HR vendor and providing administrative support for employee onboarding, licensing and memberships
- Updating project information and contacts in Vantagepoint and MS Office software
- Responsible for purchase of office supplies and coordination of external service support vendors including for building maintenance and tenants
- Responsible for office mail and courier receiving and shipping functions
- Organization of office documentation, files and archiving
We Ask For
- Bachelor’s degree in Business preferred, but not essential
- 5 – 10 years experience, in the AEC (Architecture, Engineering and Construction) industry
- Superior verbal and written communication ability
- Highly organized with ability to multitask
- Confident, engaging, proactive and collaborative
- Technology savvy with business and bookkeeping software, experience and knowledge using Deltek Ajera and AIA software preferred. Training is available if necessary.

You Are
A creative, driven, technologically savvy architectural graduate and talented designer, with between 5 and 10 years of previous experience in an architecture/interior design firm, who works best in a culture of interdisciplinary design collaboration. You will actively participate in all aspects of a project including design conceptualization, visualization, programming, architectural and interior design, research, design/document production, construction administration, collaboration with the project manager and the interior design team, coordination with industry partners, owners, consultants and contractors through all phases of design and delivery. You will also be exposed to the business side of our profession with an opportunity to participate in business development and marketing efforts.
We Ask For
- Bachelor’s Degree in Architecture (minimum)
- Licensed Architect or on IDP and Licensure track
- 5 – 10 years Architecture experience with an architectural/interior design firm
- Familiarity with the properties, constructability and aesthetic qualities of building materials, systems and assemblies
- Familiar with building codes and agency approval processes
- Ability to think critically or conceptually about the built environment
- Superb verbal and written communication ability
- Highly organized with ability to multitask
- Confident, engaging, proactive and collaborative
- Good Design sensibilities, planning and graphic skills
- Good Technical and Document production and coordination skills
- Proficient in Revit, AutoCAD, Sketchup, Adobe Photoshop, Adobe InDesign and other design software
- Previous experience with higher education, science and technology, and creative workplace design preferred
- Interest in sustainable design strategies and LEED AP or WELL AP certification is a plus
