OFFICE ADMINISTRATOR

About the Position

R3A Architecture is seeking a highly collaborative, organized and articulate multi-tasker who thrives in a creative firm environment.   This position is a full-time, in-person position.

Role and Responsibilities

  • Greeting visitors, answering incoming calls, coordinating and scheduling internal and external office events, lunch and learns, and meetings
  • Assisting firm principals and project managers with client and consultant contracts using AIA software
  • Interacting with external insurance vendors for certificate requests and insurance renewals
  • Interacting with external benefits/HR vendor and providing administrative support for employee onboarding, licensing and memberships
  • Updating project information and contacts in CRM software
  • Responsible for purchase of office supplies
  • Responsible for coordination of external building maintenance and service vendors for our office building and another smaller building with two tenants
  • Responsible for office mail and courier – receiving and shipping functions
  • Organization of office documentation, files and archiving

Qualifications

  • 5 – 10 years experience, in the AEC (Architecture, Engineering and Construction) industry preferred
  • Superior verbal and written communication ability
  • Highly organized and flexible and takes ownership of assigned tasks for consistent follow-through
  • Confident, engaging, proactive and collaborative
  • Technology savvy with business software, such as MS Office, Adobe Suite.

INTERNSHIPS + JOB SHADOW OPPORTUNITIES

Our internship program provides an 8-12 week immersive learning experience for undergraduate or graduate architecture and interior design students. All internships are paid. Depending on your school’s curriculum, academic credit may be available. Our half-day job shadow program provides individuals or small groups with an introduction to the fields of Interior Design and Architecture. This experience helps participants gain practical knowledge, build connections within the industry, and explore career paths in a dynamic, real-world setting.
